What Do You Need to Get Started?
Digitizing paper documents requires three things: a scanner or scanning app, a way to apply OCR processing, and a structured archiving system. A flatbed scanner covers most household and small business needs well. For large volumes of loose sheets, a document scanner with an automatic document feeder is considerably more efficient.
If you do not have a dedicated scanner, good results are achievable with a smartphone. Apps like Microsoft Lens, Adobe Scan, or the built-in document scanning function on modern smartphones can capture document photos, apply perspective correction, and save as PDF. For important archival documents, a dedicated scanner is still preferable because the quality is higher and more consistent.
Scan Settings for Best Results
Choosing the right scan resolution depends on intended use. For text-only documents intended only for screen reading, 150 to 200 dpi is sufficient. For documents that may be printed or where OCR accuracy matters, 300 dpi is the recommended standard. For photos and documents with fine graphic detail, 600 dpi or higher is appropriate.
Save directly to PDF at the scanner if your software allows it, rather than to TIFF or JPEG, which require an additional conversion step. For file naming, the format YYYY-MM-DD_Source_Subject.pdf works reliably. This convention sorts documents chronologically automatically when sorted by file name. Example: 2023-04_IRS_TaxReturn.pdf or 2022-11_StateInsurance_HealthCertificate.pdf.
Long-term Archiving with PDF/A
For documents that need to remain accessible for decades, PDF/A is the right format. It is an ISO standard specifically for long-term archiving that excludes elements that could threaten long-term renderability, external resources, certain encryption methods, and others.

Backing Up Your Digital Archive
