The Difference Between PDF, PDF/A, and PDF/X Explained

What sets PDF, PDF/A, and PDF/X apart? When to use each format, what the standards require, and how to convert between them.

Three Formats, Three Purposes

The Portable Document Format is so ubiquitous that many people are unaware different variants exist. PDF/A and PDF/X sound similar, but they serve entirely different purposes. Understanding the distinction leads to better decisions when creating documents, preparing files for professional printing, or setting up long-term archiving workflows.

The short version: standard PDF is the general-purpose format for almost everything. PDF/A is optimized for long-term archiving. PDF/X is designed for professional print production. Each of these serves a specific need that the others do not fully address.

Standard PDF, The Universal Format

The standard PDF format is flexible and feature-rich. It can contain interactive elements like forms, buttons, and hyperlinks. It can reference external resources, linked fonts, embedded media files. It can contain JavaScript. It can be password-protected and encrypted.

This flexibility makes PDF the ideal format for day-to-day use: email attachments, reports, presentations, job applications. For long-term archiving and professional printing, however, the same flexibility introduces problems: external resources may become unavailable over time, JavaScript poses security risks, and print production requires specific technical parameters that a standard PDF may or may not meet.

PDF/A, Built for Long-Term Archiving

PDF/A is an ISO standard (ISO 19005) developed specifically for long-term document archiving. The A stands for archiving. The central requirement: a PDF/A document should look exactly the same in 50 or 100 years as it does today, without needing special software or external resources to render it correctly.

To ensure this, PDF/A prohibits certain elements: no external links to fonts or images (everything must be embedded), no JavaScript, no encryption, no audio or video playback. All fonts must be fully embedded within the file itself.

Several conformance levels exist: PDF/A-1a and PDF/A-1b are the original, stricter versions; PDF/A-2 and PDF/A-3 are newer versions with somewhat more flexibility. For most archiving purposes, PDF/A-2b is a practical choice that balances compliance with usability.

When to Use PDF/A

PDF/A is appropriate for any document that must be preserved over the long term and whose content must remain unchanged. Common use cases: contracts and legal agreements, government correspondence, scientific publications, patient records, financial statements, and historical documents.

PDF/X, Built for Professional Printing

PDF/X is an ISO standard (ISO 15930) developed for the reliable exchange of print production data. The X stands for exchange. While PDF/A focuses on persistence over time, PDF/X focuses on reliability in the printing process.

Professional printers work with precise color values, defined trim and bleed marks, overprint settings, and other production parameters. These can exist in a standard PDF but are not guaranteed to be present or correctly defined. PDF/X ensures all required print production parameters are present and correctly specified.

PDF/X also has several variants: PDF/X-1a is the oldest and strictest, CMYK and spot colors only, all fonts embedded. PDF/X-3 permits RGB colors as well. PDF/X-4 is the most modern variant, supporting live transparency and layer transparency.

When to Use PDF/X

PDF/X matters for anyone creating professional printed materials: brochures, catalogs, business cards, posters, books. Printers and print service providers specify which PDF/X version they require. Before creating a print-ready PDF, always confirm with your print provider what format and technical specifications they require. Submitting a standard PDF to a professional printer may result in unexpected color shifts or production errors.

Practical Decision Guide

A simple rule of thumb: use standard PDF for internal communication, documents not requiring long-term archiving, and anything without specific print requirements. Use PDF/A for legally significant documents, files requiring long-term archiving, or anything submitted to government bodies. Use PDF/X for files going to a professional print shop.

If you need to verify what format an existing PDF is in, most PDF viewers display the conformance level under File Properties. Documents in standard PDF can be converted to PDF/A using the appropriate tool. For PDF/X files, professional layout software like Adobe InDesign or a prepress service is the recommended route.
